FIXES

Programs:  There have been reports of fatal errors (errors that shut down Youth Track) when accessing various Program (classes, events, etc.) features.  It has been found that a couple of settings were changed on accident before releasing the last build that were not caught until we started getting reports from some our customers of these errors.  It took a while to pin the problem down and correct it, but we finally managed to correct this issue.

General:  When a date field Calendar button is pressed, the Calendar is displayed for date selection.  If the Esc button is pressed while the Calendar is displayed, an error would occur.  This has been corrected.

Help System Note:  We are getting closer to having the Help System completely revamped, changing screen shots to Vista screens (over 3,000 screen shots), adding new feature topics that were overlooked or part of some new features added in the last couple of updates, and modifying feature topic instructions that have changed.

Once the Help System update has been completed, we will release a new build with the new Help System possibly some additional features. We apologize that this current build will continue to have the old Help System.  We had a major set back and we are finally starting to turn the corner to getting things back settled again.  We appreciate your continued patience.

FIXES

VISTA FIXES: Youth Track has had issues regarding the installation (where the installation file had to be right-clicked and the “Run As Administrator” had to be selected) to install without errors.  This has been corrected with an updated InstallShield program that makes the installation more “Vista Friendly” and works with the new Vista security.  Once Youth Track was successfully installed, there were all sorts of screen issues where the previous screen would not clear and/or the screen’s title bar would no longer display, etc.  Also, drop down lists would have multiple selections selected.  All of these User Interface issues have been corrected.

Help System Note:  Because we wanted to get the Vista fixes out as soon as possible, the Help System screen shots no longer match the application.  We are about half way finished with updating the Help System where the screen shots match the new look and make additions and corrections to some of the new or modified features within this build.  Once the Help System update has been completed, build 6.039 will be released which will include the new Help System and possibly some additional features.

Check For Update: Our FTP site changed which caused the Check For Update feature to fail.  This has been fixed and can be used again for future update checks once this build has been installed.

ENHANCEMENTS

Individuals:  New Person DeDuper Wizard Utility added to Youth Track.  This new feature will provide a way to merge duplicate adult and youth records.  Duplicate records are primarily caused by an adult or youth record added as an attendee only record and then later added as a master record.  The first name, last name and birth date are the fields checked for duplicates.  However, if the name is spelled slightly different or if one record has a birth date and the other doesn’t, a duplicate record can be created.  If this goes undetected for too long, records such as attendance records could be linked to both records.  The Person DeDuper Wizard Utility will provide a way to select which record you want to keep and which record you want to merge into the record you wish to keep.

Individuals:  A new tab has been added to the row of list tabs along the bottom of the Adult and College Age / Youth and Children data entry page.  This new tab is called Notes.  You can add as many special notes as needed.  Each note will be date/time stamped with the latest note at the top of the list.

School Contacts:  Added the capability to add e-mail addresses to School Contacts just like College Contacts.

Report Writer Wizard:  A new version of the Project Designer of the Report Writer Wizard has been included in this build.  This is why the previous Youth Track 6 installation must be uninstalled before this build can be installed.  The new Project Designer of the Report Writer Wizard has a new feature called the Pivot Table Wizard.  This feature will be added to the updated Help System once it has been completed (See Help System note above.

FIXES

Program Attendees: If an attempt is made to delete an attendee record and the attendee record is associated with attendance records, a list of attendance dates associated with the attendee will be displayed before allowing the deletion.

Program Attendees: When adding an Attendee from the Attendee list, the name does not refresh in the text box even though the name was really selected.  This has been corrected.

Attendance Filter: The attendance filter selections were not filtering the data correctly resulting in incorrect data being selected for an attendance report such as an attendance phone list.

Quick Filter Wizard:  If the Finish button is pressed on the first step of the wizard, a fatal error would occur which would shut down Youth Track.  This has been fixed.

Group E-Mail Wizard:  If you select a filter for the Group E-Mail Wizard and you changed your mind, there was no way to clear the filter condition selected.  This has been corrected.

Address and Internet Address Types:  Youth Track would not allow the deletion of Address Types and Internet Address Types added by the user.  There are system Address, Phone and Internet Address Types that by design cannot be modified or deleted.  However, any Address, Phone or Internet Address Types added in addition to these system Types should allow modification and/or deletion.  This wasn’t being allowed in the Address and Internet Address Types.  This has been fixed.

Address, Phone, and Internet Address Types:  Address Types, Phone Types and Internet Address Types entered with a value that starts with a number would generate an error when attempting to edit or run a project in the Report Writer Wizard. This has been fixed by not allowing an Address Type, Phone Type or Internet Address Type to be saved if the value begins with a number.  Also, any Address Types, Phone Types or Internet Address Types that were entered prior to this check will no longer be included in the Report Writer Wizard Project Designer fields list.

ENHANCEMENTS

Accounts:  Added a Delete Warning to the Accounts deletion similar to the Programs deletion to warn the user that this delete button will delete the account and all names and account information for the selected account.

FIXES

Response Center:  Within the Response Center list, the Ignore and Include check boxes could not be individually selected.  For some reason this just started happening after the last build was released and was not discovered until months later.  This issue has been corrected.

Program Attendees:  If an attendee is associated with more than one family record, the attendee would display multiple times in any of the Program Attendee reports.  Starting with this update, if an attendee is associated with more than one family, the “Same Household” check box will need to be checked on one family record and cleared on the other family record.  This will make sure the attendee does not show up multiple times in the reports.

Reports Writer Wizard:  An error would occur if attempting to run Labels or a List based on the Program Attendee Parents data source.  This has been fixed.

ENHANCEMENTS

Individuals:  When the View/Edit User Field button of the Adult and College Age or Youth and Children data entry window is clicked, two options will now be displayed. The first option is Modify current record User Fields and the second option is Display Quick List for modifying multiple records.  A few of our customers asked that this be changed to not automatically display the Quick List that was added in build 3.002, but allow this to be optional to go directly to the current record User Fields or display the Quick List.

Reports Wizard:  Upgraded from Crystal Reports 9 to Crystal Reports 10.  For this reason, Youth Track 6 must be uninstalled and the full installation run to remove the old Crystal Reports 9 support files and install the new Crystal Reports 10 support files.

Utilities: Archive Programs:  When attempting to refresh the Programs List, Programs (classes, events, etc.) are not displayed.  This has been fixed.  Also, the Start Date has been removed and the End Date remains.  All Programs that are less than the End Date can be Archived.  It was decided there was no need for a Start Date in this utility.

Programs:  When the Program Attendee Settings button was pressed, a message would display informing the settings cannot be changed because the Program is in the past even though there are Program Dates that are in the future.  This has been corrected.

Accounts: When attempting to add a new Account, an error would occur.  This has been fixed.  Also, any students who have been set to Inactive will be at the bottom of the selection list when refreshed, they will just be disabled so they cannot be selected.

Leadership Teams:  When attempting to select students when adding a new Leadership Team, all Inactive Adult and Youth records will be at the bottom of the list and will be disabled so they cannot be selected.  Inactive Adult or Youth records can no longer be selected.

FIXES

Programs:  Attendee Payments.  When adding payments to the Program Attendees and the Account button is pressed, an error would occur.  This has been fixed.

Resource Library Schedule:  The Resource Library Schedule setup window was allowing blank dates to be entered which would generate an error in the Scheduler the next time the Resource Library Item was selected in the Schedule list.  This has been corrected to not allow blank dates.

Equipment Schedule: The Equipment Schedule setup window was allowing blank dates to be entered which would generate an error in the Scheduler the next time the Equipment Item was selected in the Schedule list.  This has been corrected to not allow blank dates.

Lookup Tables:  Duplicate Family Types were allowed.  This as been corrected.

Reports Express Wizard:  When the data sources for Labels was changed in Build 4.000 for Adult Records, Youth Records and Combined Adult and Youth Records, these new data sources were not included in the Reports Express Wizard.  This has been fixed.

Database Import:  If bracket characters were included in the First Name or Last Name fields, this would generate an error.  Brackets [] are converted to parenthesis () to eliminate this type of error during the import process.  This conversion was added to the Youth Track 5.5 Import also.

Check For Update:  There was a problem in the program that checked the build number which would not allow the update or full installation (in the case of a major build number change) to be detected and downloaded in certain situations.  This has been corrected and should detect build 4.002 once it has been released after downloading and installing the build 4.001 update from your subscription service downloads list.

ENHANCEMENTS

Utilities:  Category Parameter Update.  A Filter button has been added to the Category Parameter Update window to perform the Category Parameter Update on a smaller list than what is being displayed. For example, maybe you just want to update Categories for High School Students only.  You can click the Filter button to display the Quick Filter List Manager and create/select a filter where the criterion is setup for School Group equal to High School.  Once you've selected the filter, click the Refresh button.  Move your mouse over the Filter button to display the active filter.  To clear the active filter, click the Filter button and you will be asked if you wish to clear the active filter.  The Quick Filter List Manager will be displayed in case you want to select a different filter.  If not, simply click the Close button.  This will clear the active filter where you can click the Refresh button to retrieve the original list.

Report Writer Wizard:  Added counts by Zip Code to the following Data Sources within the Lists category.  They all have the same title:  Zip Code Count List.

Adult Records

Combined Adult and Youth Records

Family Records

Program Attendees

Youth Records

Report Writer Wizard:  Added an option to the Preset System Filters for the Adult Records, Youth Records and Combined Adult and Youth Records data sources under the Labels category to print labels for the Primary address only or print all addresses associated with each individual.

IMPORTANT NOTE:  This change will no longer allow the Contact Information project under Labels for these data sources to function.  You will need to either delete the Contact Information project or move it to the Forms & Letters category for the same data source.  If you are using this Contact Information project under Labels, contact support@youthtrack.com for instructions for moving this project to the Forms & Letters category.

Report Writer Wizard:  Added a new feature in the Report Writer Wizard for the Program Attendance data source under Forms & Letters, Labels and Lists.  This new feature is called the Attendance Filter Options and is displayed when you click the Finish button.  It provides several different attendance filter criteria such as Students who have attended <x> number of times, Students who have not attended since a certain date, etc.  The Program Attendance Options adds whichever option you select to any filter you may have already selected prior to clicking the Finish button.  For example, if you create/select a filter of 10th Grade Students, this filter will be included in whichever Attendance Filter Option you select.  This will make retrieving specific attendance information much easier.

Reports Express Wizard:  The Program Attendance data source has been added to the Reports Express Wizard.  The Attendance Filter Options will still be displayed once you click the Finish button.  The Attendance Filter Option you selected will be processed on those students you selected in the Reports Express Wizard list.

Export Wizard:  Added Program Dates and Resource Library data sources to the Export Wizard.

Reports Wizard:  Added Notes option to the Program Balances by Attendee and Program Balances by Program reports.

Individuals:  Added a Copy to Clipboard button to the Addresses tab of the Adult and College Age and Youth and Children data entry windows.  Click this new button to copy the selected address to the Windows clipboard to paste in some other Windows software such as Notepad or MS-Word.

CHANGES

Addresses:  Changed the format of the Zip 4 fields for all addresses in Youth Track to allow character as well as numeric data entry.

Families:  An individual can now be added as a member of more than one family record.

Families:  Changed the Address and Phone Number copy button to provide two options:

  1. Copy the family record address or phone number to family member addresses or home phone numbers.
  2. Copy a family member address or phone number to the family record address or phone number.

Prior to this change, the only option you had was to copy a family member address or home phone number to the family record address or phone number.

FIXES

Accounts:  When adding Account Credits to a specific Account Member record other than the very first Account Member record.

Database Utilities:  Import asks question about whether or not to delete existing e-mail address if it exists in Youth Track.  This should be limited to the Outlook import only.  This has been corrected.

Options:  An error would occur when the System Settings button is pressed.  This has been corrected.

Individuals:  The Quick Fill feature of the Category, School Grade and School Name drop down lists was not functioning properly.  Also, the Quick Fill feature was allowing Categories and School Grades to display in the drop down that should not have been displayed.  These issues have been corrected.

Individuals:  When the Family Details button is pressed and the adult or youth record is not associated with a family, you are provided with the opportunity to create the family record (if needed) and assign the adult or youth record to the family.  When this process would occur, the Zip Plus 4 value would not be copied from the individual.  This has been corrected.

All Schedules (Resource Library Schedule, Equipment Schedule, and Leadership Team Contacts Schedule):  The time format was not being saved properly which would cause a fatal error for scheduled items.  This has been corrected.

Lookup Tables (Categories):  If attempting to delete a Category that is linked to some other record in the database, a fatal error would occur instead of providing you with the information regarding where the Category is linked.  This has been fixed.

Reports Wizard:  The labels for the three check boxes (Registration Form, Medical Release Form, etc.) do not change in the Attendance Stats by Attendee and the Attendee Stats by Program reports even when changed on the Attendee data entry form.

Report Writer Wizard:  Project Designer will not open. If a data source is selected that does not have any records, the Project Designer will not open. This has been fixed by making sure there is at least one record available for the Project Designer.

Reports Express Wizard:  Fixed a problem for Report Writer Wizard projects added to the Reports Express Wizard that have a filter condition saved with the project.  This filter would continue to be in affect even after you selected specific students for the project in the Reports Express Wizard.  Saved filters are not disabled during processing of the data using the Reports Express Wizard.

ENHANCEMENTS

Programs:  Added a new button to the Dates list tab of the Programs data entry window.  The Clear Attendance button has been added to clear attendance records for the selected date in the Dates list.

Check For Update:  The new Check For Update feature has been added to the Youth Track Help menu. The purpose of the Check For Update feature is to provide an easy way to determine whether new Youth Track Build updates exist without having to logon to your on-line account at the Youth Track web site.  You can still logon to your on-line account to check for and download updates from your downloads list by going to the Youth Track web site.  However, the Check For Update simplifies this process.  If your Subscription Service is active, you will be able to download and install Youth Track updates if a newer Youth Track 6.0 build is available using the Check For Update feature from within Youth Track.

Quick Filter: Four options have been added to the Quick Filter Wizard when adding or modifying a filter and a text field is selected.  When a text field is selected, eight text boxes are displayed for you to enter up to 8 possible values.  In the past, the text must be entered exactly as it exists in the selected field before a match can be found.  Now there are four options available, Begins With, Ends With, Contains and Exact Match.

Quick Filter:  Added a check box called Ask Later to the Quick Filter Wizard in the step to specify a date range, month/year or blank date when a date field is selected for a filter condition.  When this check box is checked, these same selections will be displayed when the query, report, etc. is run.  This provides a way to change the date settings of the filter without having to edit the filter each time the filter is selected.

FIXES

Report Writer Wizard:  The Avery 5260 Template measurements in the Project Designer were incorrect causing the text not to line up with the labels.  This has been corrected.

FIXES

Youth Track 5.5 Import:  If a default value was present in any of the Youth Track 5.5 user fields, the default value was being imported in such a way to create an error when attempting to edit additional records user fields.  This has been corrected.

Quick Filter:  If a date field is selected and the Date Range option is selected with the same date used for the Begin and End date to filter records for a single date, no records were selected even if the records exist.  This has been corrected.

Group E-Mail Wizard:  Files can now be attached and sent with your message.

Lookup Tables:  The Categories and User Lookup Fields have check boxes to specify which drop-down list the value should be displayed in for selection.  For example, the Categories data entry window has an Adult List and Youth List check boxes.  If a category has the Adult List check box checked and several adult records use this category, then removing the check mark from the Adult List check box later will cause the adult record categories from displaying.  Changes have been made to make sure these check boxes cannot be cleared if associated records are using the category.  This same type of check is also performed in the User Lookup Field 1-4 tables.

School Contacts:  If the contact title is not selected, a trigger error message would be displayed instead of the title is required message.  Also, the first name and last name would allow blank values.  These issues have been corrected.  The first name, last name and title are all required fields.
