Youth Track 6 Features List

Youth Track 6 has been completely redesigned from the bottom up using the latest technologies. The entire look and feel of Youth Track 6 has changed from previous versions. All of the data entry windows that require multiple steps have been moved into step-by-step wizards. There are so many improvements we couldn't possibly list them all.

Redesigned by youth workers to meet the organizational demands of your ministry!

NEW! Completely redesigned youth and adult data entry windows enabling you to enter multiple addresses, phone numbers and Internet addresses (e-mail addresses, instant messenger names and web sites).

NEW! Data entry wizards that guide you through the initial data entry process. Provides step-by-step data entry.

NEW! Help system that provides context-sensitive help for most features. Click the Help button on the window or press the F1 key and the Help system is opened to the applicable Help topic. Several Question & Answer Help topics are also available. Questions sent to Youth Track support will be reviewed on a quarterly basis and will be added to the Help system. Also, the Help system will be updated on a regular basis to keep up with all of the new features being introduced to Youth Track.

NEW! Accounts where you can track student and adult money accounts. You can track the source of the account deposits (fund raisers, donations, etc.) and track the purpose of withdrawals. Money can automatically be withdrawn from accounts when making payments for programs (camps, retreats, etc.).

NEW! Youth and Adult Information Center. You can click the Information Center on the youth or adult data entry window and display programs (classes, events, small groups, etc.) the person is registered for as an attendee, attendance records, ministry team involvement, family members, and any equipment or resources currently checked out to this specific person.

NEW! Enhanced School Grade Advancement feature. Not only can you have Youth Track automatically advance the school grades, you can set Youth Track up to automatically advance the school names where applicable. This is especially helpful when students have graduated from the school (such as Elementary moving to Middle School or Middle School moving to High School).

NEW! Record annual special event dates (baptism, graduation, anniversary, etc.) and be notified based on event types that you setup!

NEW! Track other items such as personal attributes and interests, employment, medical conditions, medical insurance, doctor information and emergency contacts.

NEW! Record youth and adult pictures by year. You can enter one picture per year per person record. Having a pictorial history will provide you with an additional resource for putting together graduation presentations.

NEW! Multiple user-field type. Youth Track has always had several user-defined fields and still does in Youth Track 6. We added a new user-defined field where you can record multiple items for the same person record.

NEW! Youth Track now tracks families better than ever before! We could almost call Youth Track 6 Youth and Family Track! You can record the family members and their relationship and also track contact information.

NEW! Record the family portrait by year in the family records. You can now create/print a family pictorial directory!

NEW! Ministry teams (for adults and/or youth) and Leadership teams (for adults).

NEW! Leadership Team Member Scheduler. Setup schedules for your leadership team members, which can include your staff or as many leadership teams you would like to setup. You can also be alerted to these scheduled dates for items such as school events for the student, meetings with the family, etc.

NEW! Programs feature. This one feature replaces the class/event setup, attendance, youth event registration and support event registration found in Youth Track 5.x. Programs include classes, events, small groups, etc. The program can be setup, dates and attendees assigned, and supplies added that would be needed for the program. Click on the Program Information Center to see program balances and program attendance summaries.

NEW! Program schedule. Plan the daily schedule of activities for upcoming events such as camps and retreats. Print an itinerary list for the event when finished.

NEW! Program Month-At-A-Glance and Year-At-A-Glance calendar to show you all the programs that have been scheduled for the current year.

NEW! Library Resources and Resource Scheduler. Youth Track has had a resource library feature, however, we have expanded this feature and have included the Scheduler for reserving, checking in and out of resources such as books, audios, videos, etc.

NEW! Equipment Master and Equipment Scheduler. Enter your equipment inventory and track the status of the equipment through the Equipment Scheduler. Use the Equipment Scheduler for reserving, checking in and out of equipment such as audio-visual equipment, sporting equipment, etc.

NEW! Category parameters for updating the person's category such as Community Students, Congregational Students, Committed Students, etc. (or Members, Active Members, etc., however you choose to setup your categories). These parameters are based on attendance parameters you setup.

NEW! Youth Track Alerts for alerting you to scheduled items that have been setup in the Leadership Team Member Scheduler.

NEW! Youth Track Contact Center for sending pre-defined letters and e-mail messages or printing mailing labels and lists. The Contact Center can be setup to show you at startup all youth and adult records that have an annual special event coming up or have not been in attendance in a certain number of weeks. You can also setup the Contact Center to notify you of certain categories (such as your Core Students) so you can send them something by a letter or e-mail on a recurring basis.

NEW! Youth Track Control Center where you can launch features from a central location. Also, the Control Center will show a new memory verse each time it is loaded and will keep in front of you and your staff the vision, mission and purpose statements for your organization.

NEW! Loads of lookup tables available to allow you to customize the data entry pull-downs for your specific needs.

NEW! Improved Field Replacement, Area Code Replacement utilities. Both are wizards that take you step-by-step through the process.

NEW! Group E-Mail Wizard. You could send group e-mails using the separate Youth Track Mail Express program. Now with version 6, send group e-mail messages from within Youth Track using the Group E-Mail Wizard.

NEW! Multiple database support. Setup multiple databases for tracking your Children's, Junior High, Senior High and/or College ministries. Use the Database Transfer Wizard to transfer records from one database to the other when your students are promoted from one program to the other. Also, each new database you create is based on a template database. You can setup everything in the template database first (settings and lookup table data only) and then use the template database to have these basic settings available for every database you create.

NEW! Database Manager. Setup and maintenance of your database(s) can be performed from a central location called the Database Manager. The Youth Track Network Setup has also been integrated into the Database Manager. Also, database functions such as create, change, move, remove, backup, restore, import, data transfer and maintenance can be performed from the Database Manager.

NEW! Security. A new Security system has been included in Youth Track 6. Security has been split into two levels. The first level is database security and the second level is application security. The Youth Track Help system explains in detail how to setup security in Youth Track if security is needed.

NEW! Report Wizard replaces the Youth Track 5.x Quick Reports. Youth Track still provides fixed reports designed by MTS. These reports have been improved with more graphics and awesome search capabilities from within the report itself with a tree view for grouped data on reports. You will have to see this to believe it! You can also export these reports in Adobe PDF, Microsoft Word, or HTML formats.

NEW! The Report Wizard contains fixed reports that cannot be changed. However, you can specify your organization name and logo in the Youth Track options which will be displayed in all of the Report Wizard reports.

NEW! Report Writer Wizard replaces the Youth Track 5.x Query Maker feature. Now you can create reports, mailing labels, mail merge letters and forms, pictorial directories, charts and graphs from your database information. You can also import reports created by others and export reports in Adobe PDF, Microsoft Word or HTML formats.

NEW! The Quick Export feature found in Youth Track 5.x has been replaced by the much-improved Export Wizard.

NETWORK LICENSING
Youth Track is multi-user ready and one or more Youth Track databases can be shared on your network. When you purchase Youth Track, you are also purchasing a Site License. This means you can install Youth Track on as many computers you need within your organization.
